Most important roles of an event planner!

Event planners basically oversee the coordination and execution of professional and personal events. The roles of the event planner may vary according to the nature of the event, but if we talk generally, event planners are in charge of ensuring the guests have a positive experience of the party and they have enjoyed it. An event planner should commonly have a degree of bachelors in hospitality management, but some event planners work independently without any degree.

There are several roles of the event planner, some of them are stated below.

Meeting clients for consultation.

At first, an event planner meets with potential clients for a consultation about the main cores of the event. This is usually done when the client or the representative presents his needs and requirements for the event and asks relevant questions of the planner. Once the event planner understands the needs of clients, he can discuss the details of the event that include, preferred dates, location of the event, number of goods, number of guests and all other specifics need for the event planning. At the first meeting with the Event Planner in Fishers Indiana, you can also explain the main roles during the planning phase and the day of the event and tell the clients if he needs anything during the planning process and also you can discuss your fees.

Selection of venue.

In some of the cases, clients select the venue or they already have one lined up. Though, it is the duty of the planner to find the right venue for the clients and reserve it for the preferred date. Settings, space of the venue, geographic location and functionality are the common consideration while selecting the venue for the event. While if the reservation is needed for the meeting event, hotels and conventions halls are the standard locations.

Managing transportation.

Event planners are also supposed to manage transportation to and from the event location for the clients and during the event transportation should be managed for out-of-town guests as well. If there is a conference planned, the event planner must coordinate with the travel agent to set up flights for the people flying in from other areas. Bus service, shuttle service, and other ground transports may also be used and should be booked by the event planner. Most of the time some events take place for over a few days in different local venues of the city, for that matter, the event planner should rent buses and other ground transport for the guests during all days for the event.

Coordinate all details about staff and guests.

Coordination of all details and staff on the day of event is another common role for the event planner. For wedding events planning, some companies offer the ‘day of’ services where you are able to plan the entire event, but if you have a coordinator with you on the day of event, you can get help to make things go smoothly on the day of the event. Well in general, mostly event planners take on this duty to keep a check on what they have planned come to the fruition. Coordinating all schedules regarding catering, checking on the missing items, floral and wait for staff, the problem of guests, guiding guests for event details, participants’ details and check on throughout the day of the event are the most common coordination activities that are included in the role of the event planner.

Follow up of activities.

Event planners do their best to make their clients want and exciting event with loads of fonded memories. For this matter, they take a complete follow up for all the activities on the day of the event. Even after the last guest is out the door and the event venue is clean, the vent planning services may continue.
